Sample Vehicle Use Agreement

When hosting someone through a home exchange or home stay, offering use of your vehicle can enhance their experience and even make your home listing more appealing. However, this gesture comes with responsibilities and risks. Below is a short  guide to help you weigh the benefits and disadvantages before handing over the keys.

This agreement is for you to copy or change and use at your own risk. There is a downloadable pdf copy at the end of this article.

Benefits

  1. Enhanced Appeal for Your Listing

Offering a vehicle can make your home exchange or home swap stand out—especially for guests who are traveling without a car or visiting an area with limited public transport. It adds convenience and value that could make your property a top choice.

  1. Reciprocity in Exchanges

In home exchanges, providing your car may encourage your exchange partner to do the same. This can create a more balanced and appealing arrangement, particularly for longer stays.

  1. Guest Convenience and Experience

A vehicle allows guests to explore the region with flexibility, especially in rural or coastal areas where attractions may be spread out. It can lead to better reviews and repeat stays if guests feel well-catered for.

  1. Peace of Mind for Longer Stays

If you’re away for an extended period, regular vehicle use can help keep the battery charged and systems in working order, provided the guest uses it responsibly.

Disadvantages

  1. Insurance Risks and Liability

Even with the right insurance coverage, you may still be liable for the excess/deductible in the event of an accident. If your insurer doesn’t cover guest drivers, you could face costly out-of-pocket repairs or legal complications. If your insurance does cover guest drivers make sure you have a written agreement that the guest will cover the excess.

  1. Wear and Tear

Frequent or careless use can result in additional mileage, tire wear, or damage that goes beyond normal use. Not all guests will treat your vehicle with the same care you do.

  1. Legal and Licensing Concerns

You must ensure the guest holds a valid driver’s license that’s legally accepted in your country or state.

  1. Unexpected Costs

Fuel top-ups, traffic fines, tolls, and parking violations can become your responsibility if not clearly agreed upon in advance or properly tracked. These surprise costs can erode the goodwill of the arrangement.

  1. Security and Theft

Leaving a vehicle available increases the risk of theft or misuse. Even with clear rules, you have limited control over how the vehicle is used once the guest has access.

Conclusion

Allowing a guest to use your vehicle can be a generous and valuable offering, but it’s not without its complexities. If you decide to proceed:

  • Use a formal Vehicle Use Agreement
  • Verify insurance and licenses
  • Set clear rules and boundaries
  • Document the vehicle’s condition with photos
  • Clarify who covers fuel, fines, and damage

This combination of clear communication and documentation can help you offer a meaningful perk while protecting yourself from unnecessary risk.
